Newsletter Terms & Conditions
What happens when you sign up for the Preserving Legacies newsletter, and how to change your mind at any time. Last updated October 4, 2026.
1. What you're signing up for
When you enter your email address in our newsletter form and accept these terms, you're asking Preserving Legacies to send you occasional email updates. These include stories from the heritage places we work with, news about our cohort program and Heritage Adapts!, new training resources, events, and the occasional invitation to get involved. We send a handful of emails a year, not a daily or weekly stream.
2. What we collect
We collect the email address you give us. If you choose to share more in a later form or survey (like your name, organization or country), we keep that alongside your email so we can send you more relevant updates. We also record when and where you signed up and that you agreed to these terms, so we have a record of your consent.
3. How we use your information
We use your email address only to send you the newsletter and closely related updates from Preserving Legacies. We will never sell, rent or trade your email address, and we won't share it with other organizations for their own marketing.
4. How our emails are sent
Our newsletter is sent through Mailchimp, an email service run by Intuit. Your email address and sign-up details are stored on Mailchimp's servers, which may be located in the United States or other countries. Mailchimp processes this information on our behalf and under our instructions. You can read how Mailchimp handles data in the Intuit Privacy Statement.
5. Opens and clicks
Like most newsletters, our emails contain small tracking pixels and tracked links. These tell us, in aggregate, whether an email was opened and which links people clicked, so we can learn which stories are most useful and send fewer emails that miss the mark. If you'd rather not be tracked, you can turn off image loading in your email app.
6. Unsubscribing
You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any of our emails. You'll be removed from the list straight away, and we won't email you again unless you sign up again. You can also ask us to remove you by getting in touch through our Connect page.
7. Your rights
Depending on where you live, you may have the right to see the information we hold about you, correct it, ask us to delete it, or object to how we use it. You can make any of these requests through our Connect page and we'll respond as soon as we can, and within the time the law requires. If you're in the European Union, United Kingdom or another region with data protection law, you also have the right to complain to your local data protection authority.
8. How long we keep it
We keep your email address for as long as you're subscribed. If you unsubscribe, Mailchimp keeps a record of your address on a suppression list so that you aren't accidentally added back. If you ask us to delete your information entirely, we'll remove it from our list and from Mailchimp.
9. Who can sign up
Our newsletter is meant for adults. If you're under 16, please ask a parent or guardian before signing up.
10. Changes to these terms
We may update these terms from time to time, for example if we change email providers. When we do, we'll update the date at the top of this page. If a change significantly affects how we use your information, we'll let subscribers know by email.
